Party Planning Basics

event planningEver dreamed of throwing the best party your friends and family have ever seen? Think it’s easy? Think again. It is because of the complex nature of organizing a good party that an entire industry has grown to satisfy this demand professionally: special events planning is its very own field, with special events coordinators—independent or associated with an event planning company—taking care of all the necessary details. But while many of these services exist for your convenience, if you truly want your party to be a success, it never hurts to know a thing or two about the basics of special events planning.

First, you need to know what your goal is—one of the easier tasks, especially if it is your own event and you’re not planning parties for someone else. Is it a formal event, or an informal one—or something in between? Is it a spontaneous gathering, or does it celebrate something specific, such as a birthday, marriage, anniversary, or whatever? Is the event large or small? It is only when you have an idea of the answers to these fundamental questions that you are ready to move to the actual planning and implementation phase, where you have to think about things such as budgeting, event scheduling, choosing the venue, putting together a guest list, designing and sending out invitations if applicable, etc. Thankfully, you are probably not alone. Even if you cannot afford the services of special event coordinators or a professional event planning company, you can still enlist friends and/or family in your effort, depending on the occasion.

Never underestimate the importance of a party or event budget, and backup plans (such as alternative times/locations) in case of any unforeseen events such as inclement weather, for instance. Whether you are on a tight budget or a lavish one, making sure that your event satisfies the expectations of the guests, whatever those may be, is very important, and you have to plan accordingly.

Even if you find planning parties to be very stressful, do not despair. With the advent of the internet, there are plenty of free resources for you out there, including budget templates, online tips and things to prepare for, various factors to take into consideration for different kinds of events, and the list goes on. Good luck!
